📝 Rental agreement management

Rental agreements allow one or more tenants to be associated with a property.

You can manage information such as:

  • Billing frequency

  • Information required for rent reviews

  • Documents associated with the agreement

Validated agreements are then used as the basis for generating rent calls and rent receipts.


🧾 Rent receipt generation

UltimateImmo allows you to generate rent receipts from active rental agreements.

The generation page displays the list of active agreements. You can select the rentals to process before launching the creation of rent calls.

This feature allows you to:

  • Generate several rent receipts in a single operation

  • Automatically calculate rent and service charges

  • Track paid and unpaid rent receipts

  • Generate PDF documents for tenants

  • Keep a complete history of rent calls


💳 Payment recording

From an unpaid rent receipt, an incoming payment can be recorded directly.

The module supports:

CAF payment management makes it possible to distinguish the amount paid directly by the organization from the amount still payable by the tenant.


📈 Rent reviews using the IRL index

UltimateImmo includes management of the French Rent Reference Index – IRL, published quarterly by INSEE.

The module allows you to:

  • Retrieve the latest IRL index values

  • Save index values in Dolibarr

  • Identify agreements whose rent must be reviewed

  • Automatically calculate the new rent amount

  • Keep the date and index used for each review

The following calculation is applied:

New rent = current rent × new IRL ÷ reference IRL

The dashboard highlights validated agreements whose last rent review was more than twelve months ago.


🔑 Property condition report management

UltimateImmo allows you to create check-in and check-out condition reports directly in Dolibarr.

Each property condition report can be associated with:

  • A property

  • A rental agreement

  • A tenant

  • An inspection date

  • Public or private notes

The rooms in the property are automatically prepared according to the number of main rooms entered on the property card.


🚪 Detailed room assessment

Several elements can be assessed for each room:

Inspected element Available assessments
Floor Good, worn, poor or to be replaced
Walls Good, worn, poor or to be replaced
Ceiling Good, worn, poor or to be replaced
Doors and windows Good, worn, poor or to be replaced
Equipment Good, worn, poor or to be replaced
Observations Free-text field

A room that does not apply can be disabled so that the corresponding fields are not displayed.


📸 Photos for property condition reports

One or more photos can be added for each room in the property.

Each photo can include:

  • The room name

  • A caption

  • An additional observation

Common image formats are supported: JPG, PNG, GIF and WebP.

Photos are displayed as thumbnails and can be opened in a full-screen viewer.


💧 Meter readings

Meter readings associated with the property can be automatically included in the property condition report:

✅ Water meter ✅ Electricity meter ✅ Gas meter

For a check-in condition report, the module uses the first recorded reading. For a check-out condition report, it uses the latest reading available before the inspection date.


📄 Property condition report PDF generation

Once the condition report has been completed, a full PDF document can be generated.

The PDF includes:

  • General inspection information

  • The relevant property and rental agreement

  • Property owner and tenant information

  • Meter readings

  • The detailed condition of each room

  • The recorded observations

  • Photos organized by room

  • Signature areas for the property owner and tenant

After validation, the property condition report is locked to preserve the integrity of the recorded information.


📊 Dashboard

The UltimateImmo dashboard provides a clear overview of your rental management activity.

It allows you to monitor:

  • Active rental agreements

  • Rent receipts to be generated

The OpenStreetMap configuration allows properties to be located on a map using their address.
